Task Filtering Changes

What's new?

We've updated the task filters to be more expansive and powerful when it comes to showing the tasks.

Why does it matter?

We've had a look through tasks and found that due to the default filters, we discovered that the default 4-day filter could cause tasks to be overlooked or lost if they fell outside this time frame.

In addition, as by default it showed the current users' tasks only, there was a risk that some important tasks might remain uncompleted.

We previously treated tasks as more of an individual workload but are changing this to show the overall tasks on a scheme.

Don't Worry: All the previous filters can be applied from the dashboard, you can still view and work through your own tasks. 


How does it work?

Default Date-Range for tasks will be 'All Time'

The previous default date-range selected was 'Last 4 days'.

This made the list of recent tasks concise and short but also made it easy for uncompleted tasks to fall outside of this default view.

Default owner will be set as 'All Owners'

Instead of defaulting to a single user, which was good for managing one's own workload, we have changed the default view to show all tasks regardless of the assigned owner.

This update ensures that no important tasks end up in a specific user's task list such as messages from a participant or a notification of failure to send a message.

Removed limitations on the Date-Range

Previously, you could only specify 3-month blocks in tasks.

E.g. 01-01-2024 - 01-04-2024

We've now removed these restrictions and any search through the tasks will now be completed.

Added 'Paging' to the Task List

We've now added paging so no task list can ever grow to a monstrous size on the page.

This will make it more manageable when looking through last task-lists and easily allow you to go to the very latest and very earliest tasks.

 


 

Task Deletion Changes

What's new?

We've moved the permissions to delete automated tasks to the Super Scheme Administrator permission level.

Why does it matter?

It was raised by our community, it didn't make much sense that any user could delete system raised tasks that had been set up as part of their processes, and we agree!

How does it work?

Previously any user could delete any task.

This is problematic, any user could delete tasks belonging to another user or delete their own tasks making reporting on what had occurred within the scheme more difficult.

We've now removed non-Super Admin's ability to delete tasks that were automatically raised.

Completing or 'failing' tasks (if the task has success outcomes enabled) will still remove the task from your queue).

It just means it can be reported against.

You can still delete tasks and reminders that you have personally created

If you've raised a reminder from the bottom of the dashboard (please see screenshot below) or raised a manual task against a referral from the referral record you can still have the option to delete these tasks if necessary.

This update will have minimal impact Scheme Admin, as it will declutter their interface and encourage completing tasks over deleting, which in some instances were used interchangeably.

Super Scheme Admins will retain the ability to delete any tasks as needed.


 

Enhancing the Onboarding Experience

What's new?

In our upcoming release on Tuesday, 24th September, you will see that ReferAll's chat widget has been replaced with a menu that will be your hub for accessing tutorials and support. This exciting new feature will streamline the onboarding process for new staff, making it easier and faster. Additionally, we will be continuously updating our tutorials to support users as they navigate the platform.

Why does it matter?

We know that getting started with any new software can feel a bit overwhelming for both new and returning users.

We've listened to your feedback and brought in these enhancements so that new or returning users go from "where do I start" to "I get it" improving their onboarding and understanding of new features. 

This is where we unveil our new Resource Centre

You can start a tutorial at any time, although we recommend starting from the top.

In-platform tutorials can be replayed at any point relevant to the page a user is on.

This will help getting new users into the platform and helping to introduce veterans to additional functionality.

New ReferAll Tutorials will be rolled out slowly

We're going to review which if any of these tutorials we 'Go-Live' with, in this release we are just adding the functionality and while we have been busy making tutorials, we need to make sure each of these are just right before we deploy them to everyone.

The ReferAll Coach Bot is integrated into the new Resource Centre

Don't fret, Coach Bot is still here! It now lives in the Resource Centre 😊

How will ReferAll's new Tutorials work?

On each page, you'll have a checklist you can access through the Resource Centre, here will be a list of tutorials which you can start.

These tutorials will then show you, highlight and talk you through certain areas, concepts and actions on the system.

Here's an example of a basic tutorial!

In this example, the tutorial is guiding a user through page filters and saving the settings for the duration of today's session.

This will help users learn the platform faster and existing users gather additional knowledge of what they can do, all while being unintrusive to the experts 😎
