How can I create, upload, and print a letter?

This feature enables you to generate letters from a template you've created which can then be downloaded and printed. 

You are able to create your own letters using merge fields/codes to pull in data from Referral records.

  1. Letter templates must be created before they can be accessed within the ReferAll system. 
  2. The first step is for you to create your Microsoft Word letter template in .docx (2003 onwards) and use the appropriate merge codes where they are needed.
  3. They must be entered exactly as you see them - click here to see the available merge codes in the system.
  4. Save as a .docx file.

Please note: the maximum document size is 985,884 bytes or 963 Kb

Once you are happy with your template/s please complete a Change Request online form and once submitted you will receive a ticket number. Please reply attaching the document. 

What happens next?

We will arrange for the template/s to be uploaded to your scheme/s. N.B. An admin charge may apply.

Top Tips

              

  1. If using a window envelope, you need to set the name and address in the correct position for printing as we will not check this before we make the template available to you.

  2. If you embed images in the document, please make sure they are low resolution to minimise the file size.

When we have uploaded the letter template/s you can access them here:

  1. Go to the Referral record / ID required, either from a task or via the [?] icon [Search].
  2. In the individual's referral record ensure that you are in the Referral Details tab. 
  3. Scroll down to the smaller tabs and select the Documents tab.
  4. Under the list of previously generated documents click on Generate document from template and select the template from the drop-down menu. 
  5. Click Generate. The document will appear in the list of documents. The file can be viewed, then printed.
